About Tranaxen
What is Tranaxen?
It's a transaction tool for real estate agents. It reads your Gmail or Outlook, works out which property each email is about, and files it under that deal with the deal's dates, contacts and documents. Each deal also gets a label or folder in your mailbox, a folder for its documents, a timeline of milestones, and a page you can share with your client.
I built it for my own real estate business, and I run my own deals through it.
What does it cost?
Nothing while the beta runs. There's no card and no contract. If paid plans start, you'll see the price before you're ever charged, and nothing gets charged without your agreement.
Which email, storage and calendars does it work with?
Email: Gmail (including Google Workspace) and Outlook (including Microsoft 365). Documents: Google Drive, OneDrive or Dropbox. Calendar: Google Calendar or Outlook Calendar.
Your mailbox and your storage are separate choices, so you can read mail in Outlook and keep files in Drive, or the other way around. Your calendar goes with your mailbox.
Other email providers aren't supported yet. If you use one, apply anyway and say so on the form, and I'll let you know if that changes.
Do I need to install anything?
No. It's a website, at beta.tranaxen.com, and it works on a computer, tablet or phone. There's nothing to add to your browser or your email.
How do I get in?
Apply on the home page. I'm letting people in a few at a time so I can help each one get set up, and I'll email you when you're in. If you use Gmail, I have to add your address on Google's side before you can sign in, so wait for that email before you try.
Can my team or my assistant use it?
Yes, with a team account. Answer yes to the team question when you apply, or email hello@tranaxen.com if you already have an account, and I'll turn it on. Then a Team tab shows up in Settings: click Start a team there and invite people by email, as an agent or a coordinator. The people you invite don't need a team account of their own. Leaving a team, or deleting your own, turns the Team tab off again; so does Turn off team account if you never start one. You're the team lead: the deals your agents add belong to you, you see all of them, and files on them go to your storage. Agents add and work their own deals. When you or an agent adds a deal, you can tick who else on the team it's shared with, and change it later from the deal's page. Coordinators work the deals shared with them, and can't add deals. Their own mail about a shared deal files into it too. As the lead you can hand any of your deals or prospects to one of your agents from its page, and share your milestone templates and providers with the whole team. Because Tranaxen is in beta, anyone you invite has to apply on this site and be approved as a beta tester first, or the invite won't work for them.
Your email and your privacy
What does Tranaxen read, and what does it keep?
It reads your inbox and your sent mail so it can work out which deal each email belongs to. For each email it keeps the subject line, the sender, the date and which deal it's on. It doesn't keep the message itself or its attachments.
It reads more in the moment when a feature needs it, like when you open an email in Tranaxen or look for dates in a deal's contracts, and doesn't keep that either. The privacy policy has the details.
Will it delete my email or send email for me?
It never deletes email. It only sends email when you tell it to: a Timeline link you send to a client, the reminders you turn on (which come to you), and messages you send from Contact us.
What happens in my inbox?
In Gmail, filing an email under a deal adds that deal's label, and the email stays in your inbox. In Outlook, it moves the email into the deal's folder, so it leaves your inbox. Either way the deal's label or folder sits under a "Tranaxen" one, which you can rename on the Labeling tab in Settings, and Not this deal? undoes it.
Why does Google say Tranaxen isn't verified?
Tranaxen is still in testing with Google, so Google shows that warning to everyone during the beta. Click Continue. On the next screen, leave every box checked, or syncing won't work.
Can my clients see my email?
No. Your client's page shows only the dates, documents and people you choose to share, plus your own contact details. None of your messages are ever on it.
Is my data used to train AI?
No. Tranaxen doesn't sell your information, doesn't show ads, and doesn't use your data to train AI.
How do I delete my account?
At the bottom of the General tab in Settings, click Delete account and type your email address to confirm. That deletes your deals, milestones, contacts, templates, the email records Tranaxen keeps and the photos and logos you uploaded. It takes your milestones off your calendar, stops your client Timeline links working, and revokes Tranaxen's access to your Google and Dropbox accounts. Files you saved to your own storage, and the labels or folders in your mailbox, stay where they are.
Microsoft doesn't let apps remove their own access, so if you connected a Microsoft account, remove Tranaxen at account.live.com/consent/Manage afterwards.
Getting started
What should I do first?
- Open Settings from the account menu at the bottom of the sidebar and choose the folder your saved documents go in.
- On the Deals page, click Add a transaction, type the address of one of your active deals and pick its transaction type.
- Give it a few minutes to sync, or click Sync mail now.
A short tour opens the first time you sign in, and Take the tour at the bottom of the sidebar brings it back.
How does Tranaxen decide which deal an email belongs to?
It files an email under a deal when:
- The subject or the first lines mention the deal's address. The house number and street name have to match, but it doesn't matter if the direction (N, S, E, W) or the street type (St, Rd, Ave) is left off or different.
- It's from someone you've saved as a contact on only one deal.
- You put it under the deal's label in Gmail, or in its folder in Outlook, yourself.
Mail you send is filed the same way, by the address in it or by who it went to. Anything it isn't sure about waits under Suggested emails at the bottom of the Deals page for you. It checks for new mail about every five minutes, and archived deals don't pick up new mail.
What are Suggested emails?
Emails that look like they're about a transaction but that Tranaxen couldn't match to exactly one deal. For each one you can assign it to a deal, create a deal from the address it found, or dismiss it. Dismissing one also stops that address being suggested again.
Tranaxen filed an email under the wrong deal. How do I fix it?
Open the deal, find the email on its Emails tab and click Not this deal? The email goes back to Suggested emails for you to assign, unless you sent it: your own mail is never a suggestion, so put it under the right deal's label instead. The deal's label comes off (in Outlook it moves back to your inbox, or to Sent Items if you sent it), and Tranaxen won't put it on that deal again.
An email I expected isn't on the deal.
- If it came in before you added the deal or fixed its address, Tranaxen catches up when you save the deal, as long as the address is in the subject. Otherwise click Reclassify existing mail on the Deals page, which looks again at mail it hasn't filed.
- If it's older than the mail Tranaxen has read, click Full resync. It reads your newest 300 messages, received and sent.
- If it's from your client and you've just added them to the deal as a Client contact, their mail Tranaxen has already read files on its own. For a prospect, Find their mail on their page searches your whole mailbox.
- Or put it under the deal's label or folder yourself, and Tranaxen picks it up.
What's a prospect?
Someone you're working with who isn't under contract yet. Add them on the Prospects page with their email address, and mail to and from them files under them, in a label or folder named after them under Prospects. Find their mail on their page looks through your mailbox for anything from before you added them.
When they go under contract, click Convert to a deal and enter the address. Their emails and files come along, and their label and folder move to the deal. If you already made the deal, use Move into an existing deal instead.
Where do saved documents go?
To the folder you choose on the Storage tab in Settings, in your Google Drive, OneDrive or Dropbox. Each deal gets its own folder inside it, named after the deal and renamed if the deal is. If you tick Group deals by transaction type on the Labeling tab in Settings, deal folders go in Buyers, Listings and Leases folders, the same way their labels or mail folders do. Nothing is saved until you pick it: open a deal's Files tab, tick the files you want (or choose Save all), and save. Signature logos and other small images are left off the list. Tranaxen doesn't keep a copy.
Can I attach a document to a milestone?
Yes, if you want to. On the deal's Timeline tab, click a milestone to open it, and under Documents pick any file you've saved to the deal, like the inspection report on the inspection deadline, then click Save. The file's name shows on that milestone's card, and its Files tab says which milestone it's with. A file goes with one milestone at a time.
Attaching a file doesn't share it. Tick Share with client beside the file, right there in the milestone or on the Files tab. Once the milestone is visible to your client, they see the file under that date on their page. While it's hidden, the file shows with their other shared documents. On your timeline, an attached file that isn't shared says so.
Can I export a deal for my broker or my records?
Yes. Open the deal and click Export at the top. You get one zip file with every email on the deal, each as its own file that Outlook, Apple Mail or Thunderbird opens, plus every file you've saved to the deal. Open index.html inside it for a page listing the emails, files, milestones and contacts. If an email or file couldn't be included, say it was deleted from your mailbox or Drive, that page says which one and why. A big deal can take a minute or two. Tasks and notes aren't in it, since those are just for you.
How do milestone templates work?
A template is a list of milestones measured from the closing date, or from another milestone, like a deposit due 3 days after the offer is accepted. You start with one for buyers and one for listings. When you set a deal's type to Buyer Representation or Listing for Sale, its template loads onto the deal's timeline with no dates yet. Add the closing date and the dates fill in, and they move if the closing date changes. There's also an After closing template that adds check-ins when you mark a deal Closed.
A date you set yourself, or one found in an email or contract, stays put. You can change the templates on the Templates page. "Weekdays only" on a milestone skips weekends, not holidays.
Does Tranaxen find dates for me?
Some. When it files an email, it looks for a milestone and a date together in the subject and first lines, like "inspection is 10/14". On a deal's Timeline tab, Find dates in email reads the deal's emails in full, and Find dates in contracts reads the PDFs attached to them. Scanned PDFs can't be read.
Dates it finds are marked From email or From contract and hidden from your client until you share them. Deadlines a contract counts from acceptance or closing, like "within 7 business days of acceptance", are only suggested with a proposed date, and nothing is added until you tick it. Business days there skip weekends and federal holidays, not state ones. Always check dates against your contract.
What does my client see?
On the deal's Timeline tab, click Share Timeline to copy a link, or send it from your own email to a contact on the deal. Your client opens it without signing in and sees only what you've chosen: milestones you've made visible with the eye button, files you've ticked Share with client, and people you've ticked Show to client. It also shows your name, phone, email, brokerage, and the logos and headshot from Settings.
The link doesn't change once it's made, so you can send it once and keep the page updated. To take something off it, hide it again. Search engines don't list it.
Can milestones go on my calendar?
Yes. On the General tab in Settings, click Connect calendar and approve the extra permission. Dated milestones show up as all-day events in your Google Calendar or Outlook Calendar, whichever goes with your mailbox, and move when their dates do. Turning it off leaves the events already there.
Can it remind me about deadlines?
Yes, on the General tab in Settings, under Email reminders. There's a weekly digest of the next two weeks, and reminders ahead of each milestone. Reminders due the same day come in one email, so you get at most one of those a day. Both are off until you turn them on, and they come from your own mailbox to you.
Archived, withdrawn, cancelled and dead deals are left out, and so are milestones marked completed. The one exception is the follow-up dates added when a deal closes. You still get reminders for those after you archive the deal.
When something looks wrong
A banner says Tranaxen has lost access to my Gmail.
While Tranaxen is in testing, Google ends its access about once a week. That's Google's rule, not a bug. Click Reconnect Google, approve everything again, and you're set. Outlook doesn't do this.
Microsoft says I need admin approval.
Your company's IT has to approve Tranaxen once for your organization. Email me at hello@tranaxen.com and I'll help.
The Google Drive folder picker opens blank.
Google's picker needs you signed in at google.com in the same browser, in a normal window rather than a private one, with third-party cookies allowed. Fix whichever of those is off and try again.
How do I report a problem or ask for something?
Click Report a bug in the sidebar. You can paste a screenshot into it, and it comes straight to me. For anything else, click Contact us, or email hello@tranaxen.com.
