tranaxen Apply for the beta

Privacy Policy

Effective October 19, 2026

Tranaxen is a transaction management tool for real estate agents. It's built and run by me, Shane Greenfield. This policy explains what Tranaxen collects, what it does with it, and what it never does. It covers the app at beta.tranaxen.com, the admin site at admin.tranaxen.com, and this website.

The short version: Tranaxen reads your email so it can file it into your deals. It stores as little as it can to do that. It never sells your information, never shows ads, and never uses your data to train AI.

What Tranaxen collects

Your account

You sign in with Google or Microsoft, on their own sign-in page, so Tranaxen never sees your password. From that sign-in it keeps your name and email address, and from Google your profile picture link.

Access to your accounts

When you sign in or connect a service, Google, Microsoft or Dropbox gives Tranaxen access tokens so it can work for you, including in the background while you're not logged in. Tranaxen stores those tokens on its servers. Here's what each permission is used for:

  • Gmail or Outlook mail (Gmail's gmail.modify, Microsoft's Mail.ReadWrite and Mail.Send): reading your inbox and sent mail to work out which deal each email belongs to, labelling or moving filed mail into the deal's label or folder, and sending email when you ask it to.
  • Files (Google Drive's drive.file, Microsoft's Files.ReadWrite, Dropbox's file read and write): creating each deal's folder and saving the attachments you pick into it. With Google Drive it can only see the files and folders it created or you picked.
  • Calendar (Google's calendar.events, Microsoft's Calendars.ReadWrite): only if you turn on calendar sync. It adds, updates and removes your deals' milestone dates in your calendar. It doesn't read your other events.

Your email

For each email Tranaxen keeps track of, it stores the subject line, the sender, the date, and which deal it belongs to. It does not store the body of your emails or your attachments.

It does read more than that in the moment, when a feature needs it: the text of a message you open in Tranaxen, the attachments listed on a deal's Files tab, the full text of a deal's emails when you click Find dates in email, the text of emails not yet filed when you click Reclassify existing mail (to look for a deal's address in them, and milestone dates in the ones it files), the PDFs attached to a deal's emails when you click Find dates in contracts, and every email and saved file on a deal when you click Export, to put them in the zip file you download. That content is read to do the job and isn't kept. What it finds and you choose to keep, like a closing date or a contact, is stored as part of your deal.

What you add

Your deals (addresses, client names, prices, status), milestones, tasks, notes, contacts (names, email addresses, phone numbers, companies and roles), milestone templates, the client page message you write, and your settings, such as your time zone and when you want reminder emails.

Files Tranaxen keeps itself

Deal photos (ones you upload, or a Street View photo it fetches for the address), and the logo and headshot you add for your client pages. Everything else you save goes to your own Google Drive, OneDrive or Dropbox. Tranaxen passes the file through and doesn't keep a copy.

Messages you send me

When you use Contact us, the message goes from your own mailbox to hello@tranaxen.com. When you use Report a bug, your report, your email address and any screenshot you add are saved to Tranaxen's private code repository on GitHub.

Beta applications

The application form on this website collects your name, email address, location, brokerage, and whether you use Gmail. It's submitted to a Google Form, and the answers go into my Google Sheet.

Cookies and browser storage

Tranaxen uses two cookies: one that keeps you signed in, and one that lasts ten minutes during sign-in to make sure the sign-in really came from you. It also saves your light or dark mode choice in your browser so pages open in the right theme. There are no analytics, no advertising cookies and no tracking pixels. The Google Drive folder picker and the address suggestions are Google's own tools, loaded from Google, and work under Google's privacy policy.

Server logs

Like any website, the servers keep technical logs, such as the address a request came from and any errors, so problems can be found and fixed.

How it's used

Only to run Tranaxen's features for you: filing email into deals, saving files, finding dates, reminders, calendar sync, client pages, and support when you ask for it. Tranaxen doesn't sell your information, doesn't use it for advertising, and doesn't use it to train AI or machine learning models.

Tranaxen doesn't send your email to any AI service today. The code has an optional AI step for sorting email that would send an email's subject, sender and a short preview to Anthropic, and it's turned off. If I ever turn it on, I'll update this policy first.

What Tranaxen does in your accounts

  • It adds labels in Gmail, or creates folders and moves filed mail into them in Outlook. Undoing a filing moves it back.
  • It never deletes your email.
  • It only sends email when you tell it to: a client page link, reminder emails you've turned on, or a Contact us message. Reminders go from your mailbox to yourself.
  • It creates folders and saves the files you pick in your storage. It only deletes a file there when you remove it from a deal and choose to delete the file too.

Who your information is shared with

I don't sell or rent your information to anyone. It's shared only with the services that run Tranaxen, and only as far as they need to do that:

  • Google, Microsoft and Dropbox: your own accounts, which Tranaxen works in for you.
  • Railway: the servers and database, in the United States.
  • Vercel: serves the app's web pages.
  • Cloudflare: runs this website and the domain names.
  • Google Maps: the address you type is sent to Google for suggestions as you type, and a deal's address is sent to get a Street View photo.
  • GitHub: bug reports, as described above.
  • Google Forms: beta applications, as described above.

A deal's client page is visible to anyone who has its link, and shows only the dates, documents and people you've chosen to share. I'll also share information if the law requires it. If Tranaxen is ever sold or transferred, I'll tell you before your information is handled under a different policy.

If you're on a team

A team is a lead and the agents and coordinators they invite. Being on one shares some of your information with your teammates:

  • Team deals are seen by the lead, the deal's agent, and whoever it's shared with. A deal an agent adds belongs to the team lead. The lead and the agent can open it, and so can each teammate they choose to share it with: its details, dates, tasks, notes, contacts, saved files, and the emails filed into it. That includes an email that came from a teammate's mailbox. Tranaxen reads it through the mailbox it arrived in, so its full text and attachments can be opened by anyone who can open the deal.
  • Your own mail can file into a deal shared with you. When an email in your mailbox names that deal's address, or comes from someone saved on that deal, it's filed into the deal, and the deal gets a label or folder in your mailbox under "Team". Tranaxen never suggests a shared deal for anything else in your mailbox.
  • Everything else stays yours. Mail that isn't filed into a team deal is never shown to anyone else, and neither are your other deals. When you join a team you choose which of your existing deals go to it; the rest stay private to you.
  • Reminders and your calendar include the team deals you're on. If you've turned them on, milestone reminders and calendar entries cover the deals you work and the ones shared with you, sent from and written to your own accounts. A team lead's weekly digest covers every team deal, with each agent's name beside their deals.
  • The lead's accounts hold a team deal's files and contacts. Files saved on a team deal go to the lead's storage, and contacts saved on it go to the lead's contacts. Files you saved before the deal joined the team stay in your storage. Tranaxen still reaches those through your connection, so the ones you shared with your client stay on their page, and only you can delete them from your storage.
  • The lead can hand a deal to an agent. When the lead hands a deal they own to an agent on the team, that agent's mail files into it from then on, and whoever worked it before can't open it any more unless the lead shares it with them.
  • The lead's shared templates and providers. A lead can share their milestone templates with the team, and put providers on the team roster: each provider's name, email address, phone number and company. Everyone on the team sees those and can use them on their deals.
  • The client page shows both of you. A team deal's client page shows the lead's logo and brokerage, and the agent's name, photo, phone and email.
  • Invites go out from the lead's mailbox, to the address the lead types in, with a link that works for 14 days.
  • Leaving, or a deal no longer shared with you. If you leave a team, the lead removes you, or a deal stops being shared with you, you can't open those deals any more, and they stay with the lead. Mail you filed into them stays on them, and the team can still open it while your mailbox is connected to Tranaxen. Files you saved on a deal before it joined the team stay on its client page the same way, while your storage is connected. The labels and folders in your mailbox stay as they are.

Google user data

Tranaxen's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. That includes information received from Google Workspace scopes such as Gmail. In particular, Google user data is used only to provide and improve the features you see in Tranaxen, isn't used for advertising, isn't transferred except as described in this policy, and isn't used to develop, improve or train AI or machine learning models.

Who can see your data

I don't read your email or look through your deals. The admin screen shows each account's email address, name, connected mailboxes and how many deals it has, not what's in them. The only times I'd look at your data are when you ask me to help with something and agree to it, when it's needed to investigate a security problem, or when the law requires it.

How it's protected

Everything is sent over encrypted connections (HTTPS). The sign-in cookie can't be read by scripts on the page. Access to the servers and database is limited to me. No system is perfectly secure, but I take reasonable steps to protect your information, and I'll tell you if there's ever a breach that affects you.

How long it's kept, and deleting it

Your information is kept while you have an account. You can delete your account at any time in Settings. That deletes everything Tranaxen has stored about you, removes its calendar entries, deletes the photos and logos it keeps, and revokes its access to your Google and Dropbox accounts. Microsoft doesn't let apps remove their own access, so Settings shows you where to do that. Files in your own storage, and the labels and folders in your mailbox, stay where they are. A team lead can't delete their account while anyone else is on the team, because the team's deals would go with it; remove them from the team first.

You can also remove Tranaxen's access at any time from your Google account, Microsoft account or Dropbox settings. To have a beta application deleted, or for anything else, email me.

Your choices

You can see and change almost everything Tranaxen stores right in the app. If you'd like a copy of your information, want something corrected or deleted, or have a question about your privacy rights where you live, email hello@tranaxen.com and I'll take care of it.

Children

Tranaxen is for real estate professionals and isn't meant for anyone under 18.

Changes to this policy

If this policy changes, I'll update the date at the top. If a change affects how your information is used in a meaningful way, I'll tell you by email or in the app before it takes effect.
